Contractor Contacts
Contractor contacts are individuals who represent a contractor. Any individual who is attending site should be added as a contractor contact.
Compliance Documents
You can add compliance documents such as Public Liability Insurance and Workers Compensation Insurance to a contractor.
Add ABN / NZBN
Before uploading a compliance document, the contractor must have an ABN / NZBN. Use the inbuilt ABN / NZBN lookup to find the contractor ABN / NZBN.
Expiry Notifications
Onsite will send an email notification to the building manager 7 days before a compliance document is about to expire.
Compliance Report
You can insect a contractor compliance report in Onsite by going to Admin
/ Reports
/ Compliance
. This report will detail all contractors and the state of each key compliance document.
Contractor Sign In
Contractor sign in is a feature that allows contractors to sign in, and be inducted into the building.
Configuration
The contractor sign in feature can be configured with the following settings:
Allow new contractors - Allow companies not present in the Site contractor database to sign in. At sign in, the contractor will be added to the Site contractor database.
Allow new contractor contacts - Allow new contractor contacts (individuals) to sign in, and be added to the Contractor profile.
Displaying the Sign In QR Code
You can download a pre made sign in sign to display in a common area of the building.

Our support team can assist in generating custom versions of the sign in page for organisations.
Sign In Notifications
When a contractor signs in, an email notification is sent to the building manager contact.
Live and recent contractor sign ins are displayed on the site dashboard, and on the portfolio map for organisation users.
Managing Attendance Records
When a contractor signs in, an attendance record is created. Attendance records can be managed in the Admin
/ Attendance
.
When viewing an attendance record, you can link an attendance record to a case or work order. You can also manually update the check out time. Updating the case will ensure that the check in and out activities are linked to the case for reporting purposes.
Inductions
Onsite provides the ability to require annual contractor inductions. Induction records are associated with each individual contractor contact.
Induction items are a list of items that a contractor must attest to before they can sign in.
Onsite provided a example set of items that can be easily added through the Add from examples
button, or you can create your own by clicking the Add Item
button.
An induction will only be required if the site setup contains induction items.
Example Induction Items
- I agree to immediately notify the Building Manager of any accidents, near misses, or hazards
- I acknowledge I will not carry out works without holding current public liability insurance.
- I agree to always wear appropriate task-specific PPE
- I agree to use only safe, compliant tools and machinery
- I agree to keep workspaces tidy and free from obstructions and do not block emergency paths or tamper with doors
- If my work involves High Risk Construction Work e.g., working at heights, near electricity, or in confined spaces, I must provide a Safe Work Method Statement (SWMS) to the Building Manager before starting work and comply with the SWMS during the task
