Maintenance
The maintenance feature in Onsite is designed to help you manage and track recurring maintenance tasks within your building. For non-recurring maintenance tasks, please use the Cases feature.
The maintenance feature is found under the Building
menu.
Adding Maintenance Tasks
You can add maintenance task by clicking the ‘Add’ button.
Enter the following details
Type What type of maintenance task is this?
Name User friendly name for the maintenance task.
Category Select from an autocomplete options, or type in a new category.
Contractor Assign a contractor to the maintenance task.
Frequency Select the recurrence of the maintenance task.
Evidence of completion Optional field to specify how to collect evidence of completion.
Scheduling Maintenance Instances
After creating a maintenance task, you must schedule instances of the task to be completed. This is how you would plan out your maintenance schedule over a number of months, or years.
In the maintenance toolbar, clock the ‘Schedule’ button.
- Complete the form, adding the frequency, number of instances, and the start date.
- Click Generate to preview the instances.
When you are happy with the instances, click the Create Instance
button to add the instances.
Automatic Maintenance Notifications
You can set up automatic notifications for maintenance tasks.
In the maintenance toolbar, click the Notifications
button.
- Select the alert period - the number of weeks before the maintenance task is due that you want to be notified.
- Select the recipient - the user you want to be notified - either the linked contractor, or the building manager.
- Click the
Save
button to save the notifications.
You can remove notifications by clicking the X
button on the notification.
